How FRB works

Questions and answers about FRB Collect

Here are practical answers before considering a pilot. We always check the business’s actual mailbox, documents and export needs before getting started.

Do we have to put every order in a folder or label?

No. FRB can read directly from a connected inbox. A folder or label is an option for limiting collection. Direct inbox collection means FRB must also read messages that are later classified as non-orders.

Do we have to use Gmail?

No. Microsoft and supported IMAP mailboxes are also available as connection types. Google verification, Microsoft IT approval and the provider’s IMAP access must be addressed for the specific account.

Does ordinary email become an order?

FRB uses rules to distinguish product orders from other mail. Clear non-orders are skipped, but classification can be wrong. Uncertain orders need review, and the original mailbox remains the reference.

What happens to an unrecognised product?

The item is flagged for review. You can select the correct product and save a confirmed alias for later use. FRB must not guess a product just because its name looks similar.

Can you read scanned PDFs?

Yes, legible printed text can be read using local OCR. Unclear scans and handwriting need manual handling. Quality is assessed using an agreed sample of your documents.

Are orders sent automatically to the ERP?

No. Approved orders are downloaded as CSV. The export format and subsequent import must be agreed with the business. FRB does not replace ERP, inventory management or accounting.

What do we need to get started?

We need a contact person, product catalogue, chosen intake method and a limited sample of representative orders. The pilot agreement, data processing and subsequent export are agreed before real customer documents are collected. Do not send those documents in your initial enquiry.

Can we keep our existing workflow?

Yes. FRB does not replace the original mailbox. Keep your current routine as a fallback and agree how to avoid duplicate entry if an order is handled manually during an interruption.

Could this fit your orders?

Ask about a limited pilot. We agree on documents, the product catalogue and export before getting started.
